A secure data room must protect information not only from external threats, but also from mistakes, misuse, and inappropriate actions by people managing the room.
Right2Data VDR's Admin Activity feature provides a detailed record of administrative actions performed by Admin, Co-Admin, and Sub-Admin users. It captures key changes to files, folders, and document versions, creating a readily available activity trail for review and accountability.
This gives organizations greater visibility into what happened, who performed the action, and what data was affected.
One of the most important challenges in any secure data room is privileged-user risk.
An administrator may have substantially greater access than an ordinary viewer. If a privileged user deliberately attempts to misuse confidential information, access controls alone may not provide complete protection because the user may already be authorized to access the information required for their work.
Admin Activity helps reduce the invisibility of that risk.
A person who knows that administrative actions are recorded is less likely to assume that changes or misuse will go unnoticed. When an unexpected upload, deletion, rename, version update, or other recorded action occurs, the organization has an activity trail that can support investigation and accountability.
Admin Activity is a deterrence, monitoring, and accountability control. It should not be described as a guarantee that a malicious administrator can never leak information.
A privileged administrator may still be able to view information they are legitimately authorized to access and could potentially use methods outside the VDR, such as photographing a screen.
For this reason, Admin Activity works best as part of a broader defence-in-depth security model, alongside:
Least-Privilege Access → Authentication → Document Permissions → Watermarking → View/Download Controls → Activity Tracking → Review & Accountability
This makes a Secure VDR more difficult to misuse and provides stronger visibility when suspicious activity occurs.
A Secure VDR should use multiple layers of protection rather than depend on a single security control. Admin Activity strengthens Right2Data's existing security architecture by adding administrative accountability to access and permission controls.
The security model can be viewed as:
Use authentication, granular permissions, access restrictions, and other controls to limit what users can do.
Use accountability mechanisms and user-specific controls to discourage inappropriate activity.
Review recorded activity to identify unexpected or suspicious administrative changes.
Use the available activity trail to understand what happened and identify the administrator associated with the recorded action.
This layered approach provides stronger governance than relying on access controls alone.
Administrative actions can be associated with the Admin, Co-Admin, or Sub-Admin responsible for them.
Central administrators gain visibility into changes occurring across the VDR.
Unexpected document or folder changes can be reviewed against available activity information.
Multiple departments can participate in data-room management without making administrative activity invisible.
Organizations can establish clearer responsibility for managing confidential information.
Activity records can support internal reviews, transaction oversight, and audit processes.
Privileged administrators are not operating without an administrative record; their supported activity remains more visible and accountable.
A data room becomes easier to review when administrative changes are traceable.
Admin Activity helps maintain readily available information about administrative actions, supporting areas such as:
Understand the history of administrative changes.
Associate supported activities with the responsible administrator.
Maintain better visibility into changes to files and folders.
Provide activity information that can support internal reviews and audits.
Maintain greater control during sensitive transactions.
Admin Activity is a supporting control for compliance and audit readiness. Actual regulatory or statutory compliance depends on the organization's complete technical, procedural, and legal controls.
